Art Library Collection Development Resources

Ordering Materials

Faculty and other members of the College community requesting materials for the Art Library should be familiar with the Art Library Collection Policy, available on the VCL Collection Management Resource

Books and other materials designated for the Art Library collection must be requested through the Art Librarian. Orders should be made by submitting catalogs or publishers' brochures, or via email or other written correspondence.

Videos and materials designated for the Main Library collections should be ordered directly via Main Library Acquisitions forms, available online as well as in paper form at the Main Library Reference Desk.

Requests for new journals should be submitted to the Art Librarian on the serials request forms available through the VCL Collection Management Resource.

Order Status

Once a book request has been placed you can check to view its status in any of several databases. You can determine if the Art Library has sent an order through to the Acquisitions Department in the Main Library by clicking here and then selecting "Art Library Acquisitions." This will put you into the Art Library Acquisitions Database in which you can search by author, title, publisher, etc., as well as look specifically for listings of material you have requested in the past (enter your last name in the "recommended field", delimited by status ("ordered," "received," etc.). The database lists all orders placed by the Art Library since January 2000, as well as material expected on approval from Blackwell North America.

You may also search this database in a more user-friendly mode if you own a copy of Filemaker Pro Version 5. To do this, select OPEN from the top menu, then select HOSTS in the dialog box. Then highlight LIBRARY in the lower box and ART LIBRARY ACQUISITIONS in the lower box.

Materials for which FIRM ORDERS have been placed with vendors by the Main Library Acquisitions Department will appear in the Vassar College Libraries Online Catalog. A listing of STATUS definitions for items appearing in the catalog is available. Many items, however, are not ordered individually but via standing order and approval plans, so that not all items expected by the library will appear in the catalog after your order has been placed and before they have been physically recieved.

You may access the Blackwell North America Collection Manager database HERE to determine whether new and forthcoming titles published in Great Britain and North America are expected on approval.

You may also wish to familiarize yourself with the Listing of Museums for which the Art Library receives exhibition catalogs on approval from Worldwide Art Books, which has its own DATABASE of new, forthcoming, and previously published titles.
